Your Online Guide to Uploading, Marking and Sharing Your Files


 

Upload

The upload function uses common upload, browse and select features to populate the “digital briefcase”. Up to 50 files may be uploaded in one session. 

You must allow the upload process to be completed before moving on--once the upload has commenced, please wait for all uploads clear from the list before either returning to Home or navigating directly away from the page (if using a browser that supports tabs, creating a new tab is OK).

Searching

Use the “Search Here” field to filter the database by file name or any tag word or combination of tag words. For text searchable documents, text strings may be searched. In the Bookmark View, the database may be filtered for bookmark tag words.

Views

In the upper left is a drop-down menu offering three kinds of file organization: Files, OCR/Text (shows only files whose contents are text searchable), and Bookmarks (files/ pages within files which have been given customized bookmarks for future referral, organizing and transmittal).

Share

To share a document:

  • · Click the little blue guy icon, and then select Share the File.
  • The email’s embedded link will begin with [download] followed by the file name.
  • The email will also contain a link to the site, which requires user name and password, though you do not have to log in to download the document.

To share views of the database or of an opened document (i.e., with someone who has your permission to access to the site):

  • Click Share near the file name if you’re in a database view, or
  • Click the little blue guy icon and then select Share the View
  • The email’s embedded link will begin with [view] followed by the file name. User name and password are required to open the view.
  • Once access has been gained, the entire site is available to the user, not just the initial view or document.
  • The email will also contain a link to the site, which requires user name and password.

Simply put, you may either send a link to a document download (no password required to open), or share a link to the password protected database.

Home

If you were viewing a document, clicking Home will not erase the search criteria that led to that document. In other words, clicking Home takes you back one screen.

Files
All files (left side of screen) and comments (right side of screen). Searches (using the “search here” field) will yield results where all criteria are present in either the file name or in comments. Adding more specifics in the search field yields narrower results. For example, entering “1990” will yield all documents and comments containing 1990, and adding “herzog” (it’s not case sensitive) will narrow the results to both of those words.

OCR
Only those files which are internally searchable.

Bookmarks
Only those files with pages bookmarked by you or another user. Searches will yield files which have any of the search criteria on the right side of the screen. As with searching Files, adding criteria will narrows your search of Bookmarks.

Bookmark (gold star)
Allows you to create a bookmark of the screen you are viewing. For example, if you’ve searched on 1990 and Herzog, using the bookmark button will present a field for you to name that view for later reference. This can be handy if you’d like a particular person to see one or more things by simply entering their name as a bookmark, such as “Hans”. By going to the Bookmark view (using the drop-down menu mentioned above) and searching on “hans”, any bookmarks you’ve created with that word will be presented. This would then allow you email a link to Hans of all the views you’ve bookmarked with his name.

To bookmark a view (list of files) or a page within a document, clicks the gold star, then use the popup bookmark text field to enter any information that will help you locate this view. There is no limit to the number of bookmarks you create, which are available by going to the Bookmarks section (using the drop-down menu near the top of the page).

Bookmarks are useful for identifying views or pages for later reference, either by you or some else authorized by you. Comments can be specific, such as “see line 4”, or general such as “Cause of Action”, etc. 

Miscellaneous:

View
View the document with the built-in Flash viewer. Faster page loading than downloading.

Download
Open the document in a PDF viewer such as Adobe Reader or Acrobat. Slower to load, but permits printing and saving locally.

Share
Email the current view to an email recipient.

Delete
Delete the file. Recommended only for those managing the site.
